Whitehill Publishing able to remove 85% of customer records with PostCoder to avoid Sage system crash

Whitehill Publishing has managed to remove 85% of its redundant electronic customer records to avoid a system collapse.

Whitehill Publishing, a print group based in Hampshire, UK, has successfully avoided severe capacity problems with its finance system since its implementation of PostCoder for Sage 50 software from PostCoder.com.

Instead of struggling with a system congested by dormant accounts, Whitehill has been able to remove 85% of expired details from its system, in a bid to increase efficiency and speed up the account acquisition process.

Whitehill had built up a client base of over 25,000 accounts. The details were retained on the database so that should a customer reorder from the company, all their address details would be stored on the system already, removing the need to re-enter data manually.

This process however did not account for the substantial numbers of customers who only ordered from the company once, resulting in the system becoming overcrowded with huge numbers of dormant accounts, to the severe detriment of the operational speed of the system.

PostCoder for Sage 50 was deployed so that Whitehill Publishing had an accurate and rapid way of completing address details based solely on a postcode, meaning that records could be de-duplicated and deleted, freeing up the Sage system.

Chris Richards, director at Whitehill Publishing, said, “We would have suffered from severe productivity problems had we not been able to remove records. We were holding onto them solely to save time should an old customer re-order from us, but with PostCoder.com’s software we can now be assured that storing this information ourselves is no longer necessary as we can accurately complete address details automatically.”

Since the introduction of the PostCoder for Sage 50 software 85% of customers who have not ordered from Whitehill Publishing in the last two years have been successfully removed from the system. The twenty to thirty new accounts opened up each week can now be processed quicker and more effectively than before.
